Requesting and Booking a Session¶
Learn what happens from the moment you submit a session request to the moment your booking is confirmed — no account or login required.
Before You Begin¶
- You need the link to your organization's request form. Your organization will share this with you directly.
- You need access to the email address you provide on the form — all next steps are delivered by email.
How It Works: The Full Journey¶
Booking a session in Ordinatus follows four stages:
- You submit a request form.
- A trainer reviews and claims your request.
- You receive a personal link to pick your time slot and pay.
- Your booking is confirmed and you receive a confirmation email.
Each stage is described in detail below.
Stage 1: Submit a Request¶
- Open the request form link your organization sent you. The form is at a web address like
yourbusiness.ordinatus.io/<org-name>/request/. - Fill in your name, email address, and phone number (phone is optional).
- Answer any additional questions the form asks — these help your organization match you with the right trainer.
- Click Continue to submit.
You will see a confirmation page that says your request has been received.
Note: Depending on your organization's settings, you may also receive a short confirmation email at this point. Either way, watch your inbox — the next step arrives by email.
Stage 2: A Trainer Claims Your Request¶
After you submit, eligible trainers at your organization are notified. One of them will claim your request — this means they are taking responsibility for your session.
You do not need to do anything during this stage. There is no set time limit, so response time depends on your organization's team.
Stage 3: Pick Your Time Slot and Pay¶
Once a trainer claims your request, you receive an email with a personal scheduling link. This link is unique to you and your request.
- Click the link in your email to open the scheduling page.

On the scheduling page you will see:

The trainer assigned to you.
- The session type (if your organization uses them).
- A duration selector (if multiple lengths are offered).

A timezone selector — times are shown in whatever timezone you choose.

Browse the available dates and times. Dates are shown as pills at the top; click a date to see the times available that day. Slots up to 14 days out are shown.
- Click a time slot to select it. The slot's price appears on the card, and a bar at the bottom of the page confirms your selection.
- Click Continue.
Note: Your scheduling link expires after a set period. If you receive a message saying the link has expired, contact your organization for a new one.
What happens when you click Continue¶
The moment you confirm a time slot, that slot is temporarily held for you while you complete payment. The hold lasts for the duration your organization has configured — typically around 60 minutes. If payment is not completed within the hold window, the slot is released and you will need to start over by contacting your organization.
Stage 4: Pay and Get Confirmed¶
After you click Continue, you land on your booking page.
If payment is required¶
Your booking page shows your session details and a Pay now button. Clicking it takes you to a secure checkout page (hosted by Shopify or Stripe, depending on your organization's setup) where you enter your payment details.
Once payment is processed, you are returned to your booking page, which updates to show that your session is confirmed. You will also receive a confirmation email with your session details.
If the session is free¶
Some sessions have no charge. In that case, your booking is confirmed automatically the moment you click Continue on the scheduling page — no payment step is needed. Your booking page and confirmation email will reflect this immediately.
Tips¶
- Check your spam folder. The scheduling link email and confirmation email both come from your organization's address. If you do not see them within a few minutes, check your spam or junk folder.
- Your booking link does not expire quickly. Once your booking is confirmed, the link to your booking page remains accessible for a period set by your organization, so you can revisit your session details.
- Timezone selection is for display only. You can change the timezone on the scheduling page to see times in your local zone. The slot is always stored in a universal format, so the actual session time does not change if you switch timezones.
- You do not need to create an account. Ordinatus does not require you to sign up or log in at any point in the booking process.
Troubleshooting¶
I never received the scheduling link email.
Check your spam or junk folder first. If the email is not there, contact your organization — they can resend the link.
My scheduling link says it has expired.
Scheduling links expire after a set period. Contact your organization and ask them to send a new link.
I selected a time slot but it said "This time slot was just taken."
Two customers cannot book the same trainer at the same time. Select a different slot and try again.
I clicked Pay but the checkout page shows an error.
Payment is handled by your organization's checkout provider (Shopify or Stripe). If the page shows an error, wait a moment and try again. If the problem persists, contact your organization at the support email shown on your booking page.
My slot hold timed out before I could pay.
If you return to your booking page and it says "This booking has expired," the hold period elapsed before payment was completed. Contact your organization to start a new booking.
The page says this organization is not accepting new bookings.
Your organization may be in a trial period that has reached its limit, or their trial may have ended. Contact your organization directly for assistance.
